The bigger picture

Most businesses are paying for more than they use.

Most businesses we audit are on the wrong licence tier, have default security settings that leave them exposed, and haven't trained their team on half the tools they're paying for. That's not Microsoft's fault — it's a configuration and management problem, and it's one of the most common things we fix.

Licensing is usually where the waste starts. Microsoft offers dozens of plans, each with overlapping features and different security capabilities, so it's easy to end up with half the team on Business Premium and the other half on Basic with no clear reason why. Or worse — everyone on the most expensive plan because someone was told it was "the safest option." The right licence really depends on what each person actually needs, and getting it wrong means you're either overpaying or leaving gaps in your security.

Security is the other big blind spot. Out of the box, Microsoft 365 leaves a lot of settings in their default state — and those defaults aren't always secure. We regularly see shared mailboxes without MFA, external sharing turned on across SharePoint and OneDrive, no conditional access policies, and no alerts set up for suspicious sign-ins. Microsoft gives you all the tools to lock things down properly — it's just that someone actually needs to turn them on, configure them, and keep them maintained over time.

Then there's adoption. Most teams use Outlook and maybe Teams, and that's about it — meanwhile they're paying for SharePoint, Planner, Power Automate, Forms, Bookings, and Lists, all sitting there unused. We're not saying every business needs every tool, but when there's something that could genuinely save your team hours a week and you're already paying for it, it makes sense to at least have a look. That's part of what we do — regular reviews to make sure you're actually getting value from what you've got.
